4 ways to meet new hybrid work expectations with Microsoft Teams, timeghost and Microsoft 365

Microsoft365 with Microsoft Teams as a central communication platform enables users to explore new facets and extensions in times of hybrid working. The increasing shift from the traditional office job to a job that can be done from home as well as from the office is confirmed by the figures of the Microsoft 2022 Work Trend Index.

Microsoft’s blog entry highlights 3 hybrid expectations you’ll discover as a project manager using Microsoft365 with Microsoft Teams and how it helps your team map your processes with a single work environment. In this blog, we want to pick up on these points and add to them as appropriate.

1. New expectations of the office experience

“However, business leaders will need to rethink both physical spaces and cultural norms to make office time worth the commute.”

Nicole Herskowitz, Vice President, Microsoft Teams

Before the possibilities of hybrid working were available to us, the relevance of the office was quite different. It was the only place where employees went to do their work, which made it obligatory to go to the office and stay there. Nowadays we know other places from which we can perform our work.

Therefore, it is even more important to rethink the issue of the office and ask ourselves questions about what motivations employees have right now to work in the office, rather than in the home office.

“This means being intentional about the who, why, and where of in-person gatherings and ensuring physical spaces are designed to help hybrid teams feel connected and engaged.”

Nicole Herskowitz, Vice President, Microsoft Teams

Teams Rooms has been specifically optimized for those attending hybrid meetings from a conference room by automatically muting your audio.  This enhancement will be available to all Microsoft Teams users in the second quarter. In addition, the FrontRow feature will still be available. You can check out what this is all about here.

If you want to learn more about it, you can have a look at this blog entry of the Microsoft Tech Community, where Microsoft Teams Rooms and Teams devices are explained in more detail.

2. Microsoft365 work environment as an all-in-one solution for companies

Microsoft365 provides a great environment for you and your team. The big advantage is that with M365 you can unite all your company processes in one work environment and don’t have to switch between different environments.

Through various APIs, you can also create automated workflows and connectors for external programs that make your processes even more fluid. In addition, with Microsoft Teams as the central platform of the Microsoft environment, you can integrate a wide variety of apps directly into Teams.

This includes, among others, timeghost as project time tracking software. Simply search for the corresponding app in the Teams Store (e.g. for timeghost) and pin it directly to the menu bar in Teams. This way, you have the apps you use regularly integrated directly into Teams.  Through Zapier, you’ll find countless pre-built workflows with Microsoft Teams and the apps you already use in your organization.

3. Let your team track their times within the Microsoft365 environment

A big challenge of remote work is maintaining the structure of your work. Obviously, by having the freedom to set your schedule and do your work from home, you have more options. However, it can still happen quickly that you lose structure due to all the freedom.

We help you with our project time tracking to display your working hours. You can create different projects in timeghost, define tasks and assign them to the appropriate people from your team. In doing so, timeghost is linked to Teams through the Microsoft Graph API.

This is noticeable, among other things, as follows:

For example, if you have a conversation with your work colleagues in Teams, the duration of the conversation is recorded in the background and automatically entered into timeghost.

The only thing you have to do after the conversation is to assign the conversation to the corresponding project/task. The timer and our AI assistant allow you to assign your working hours to projects easily, quickly, and intuitively.

Small Tip: Onboarding in a few seconds

When creating your workspace in timeghost, you can easily add your team’s groups, saving you from manually typing each mail (see image).

Get the timeghost Teams App

You only need to install the timeghost Teams App directly from the AppSource Store in the application. You can find a manual on how to do this right here. The timeghost app includes all features that you know from the web client and since you use your Office 365 account to access timeghost you’re set and done in only a few seconds.

timeghost connects with your Microsoft365 programs

In addition to working closely with Microsoft Teams, you can use timeghost to connect with Microsoft365 programs that are relevant to you. This is mainly about exchanging data to make tracking your working hours even easier. For example, if you use Microsoft Planner and create a new task, an event is automatically displayed in timeghost with the corresponding task.

In the screenshot, you can see several Microsoft365 programs from which timeghost automatically captures events that you can directly enter as working time in the app.

4. Hybrid work with a better communication within your team

“Finally, a common challenge of remote and hybrid work is maintaining social capital: the network of relationships that enables people and organizations to thrive.”

Nicole Herskowitz, Vice President, Microsoft Teams

With the increasing shift from office to home, communication is key to getting the most out of remote work. Microsoft Teams is designed to keep people at the center, despite the many technical challenges, and features are always designed to encourage interpersonal interaction.

With Microsoft365 you have a working environment in which you can bring together all the programs you use in your company and use the individual advantages in an interconnected working environment.

Microsoft Teams offers you both the technical requirements to communicate with each other from different locations. In addition, you have further individualization options with the Teams Store and different workflows.

timeghost also offers you a great way to assign events from Microsoft365 programs directly as working time to a project and a task, to have an overview of your and your remote team members’ working hours.

We at timeghost are therefore proud to be able to offer our tool in connection with these great possibilities and to be part of this journey. We are convinced – remote work will become more and more established in the future.
