How to use timeghost as a freelancer

As the third blog article of the series for freelancers and self-employed, which is about time management in the implementation of projects and tasks, we want to show you here how timeghost supports you in managing your working time. 

When it comes to the features, we have primarily focused on making the interface as intuitive and easy to use as possible, so that the user can fully focus on the upcoming tasks and projects.

In this blog, we will introduce you to features of timeghost that we are convinced will be of maximum benefit, especially for people who have to manage their own time and many tasks and projects.

You’ll get insights into the application and a first impression of how we try to use timeghost to clearly display your working hours, projects and tasks so that you can work with them most effectively.

1. Before you enter times

Create projects

In timeghost you can create projects and assign them directly to a specific client. This allows you to track your workday and assign your tasks with the correct duration to the right projects. By regularly maintaining your working hours, not only you get a clear view – the customer benefits as well.

How to create a project?

  1. Click on „Projects” on the left side.
  2. Click on the “Create Project” button to the right of the search bar.
  3. Name your project and assign it to a customer
  4. Click on “Additional settings” to define your project (billability, project visibility, budget)

Create tasks and set time budgets

Now that you have created your project, you can go into the project and define your tasks there. This will allow you to better customize the project during execution and evaluate it afterwards.

How to create tasks:

  1. Click on “Projects” on the left side.
  2. Click on the project for which you want to set a budget for a specific task.
  3. Click on “Create task” within the project on the right side.
    Now you are ready to go!

2. Enter your working hours – timeghost Timer

As described in the previous blog entry, you use the timer to enter your working hours in timeghost. Since you have created tasks, projects and customers by now, you only have to add a description to the time entry and assign it to the corresponding project or task.

You can also use the feed as an additional way to automate your time entries.

3. Evaluate your work

Set hourly rates

To see the profitability of individual projects, you can set your hourly rate in timeghost and have it displayed clearly in the Profitability feature.

Filter by projects

You can see different filters at the top. Here you can see the employee profitability as well as the project profitability.

If you need a second or third person for a larger project, you can simply assign them to the corresponding project and enter an hourly rate. The profitability is also displayed graphically.

On the one hand, there is the filter with which you can display the profitability of individual projects. You can also select time periods (months and days). Below the graphic, the selected projects or employees are displayed again in an income/expenditure bar and further information about the projects is given.

Export feature for optimal transparency in front of customers

In order to give the customer insight into the projects you have implemented, you can send him the corresponding time entries via Excel or CSV file.

This way, the customer gets insights that let him know, for example, how far the project has progressed. To export, click on the export button in the top right corner of the timeghost dashboard. In the filter bar of the dashboard, you can use the different filters to specify the export. For example, if the customer is only interested in the billable tasks, you can customize this in the filter.
